Post each Stripe payout to QuickBooks as one journal entry
Stripe sends one lump-sum payout, so QuickBooks shows a single deposit while the money belongs to different funds, programs or product lines. Every morning this n8n workflow reads each new payout and posts a balanced journal entry for it.
- NOMINAL n8n built-in nodes only
- READY Stripe and QuickBooks Online
What it does
Split by fund
The fund is read from a metadata key on the charge or its PaymentIntent and mapped to a QuickBooks income account in one configuration node.
Fees and refunds on their own accounts
The bank account is debited with the payout amount, each fund is credited with its payments, and Stripe fees, refunds and other activity go to their own accounts.
Never posts a payout twice
It checks QuickBooks for the entry's reference number first, so a repeat run posts nothing new.
Skips what does not add up
Payouts that do not add up and manual payouts are skipped with the reason instead of being posted wrong. Foreign-currency payments use Stripe's settlement amounts, so the entry matches what reached your bank.
Who it is for
- Charities and businesses with several income streams that take payments through Stripe and keep their books in QuickBooks Online.
- People who already run n8n and want the payout journal entry done for them each morning.
Honest limits
- Refunds go to one refunds account rather than back to their fund.
- Exchange rates for entries in a non-home currency are left to QuickBooks.
- You need n8n (built-in nodes only; tested on self-hosted n8n 2.45.4), a Stripe account with automatic payouts, and QuickBooks Online. Start with a QuickBooks test company, which the template supports.
- Tested against mock Stripe and QuickBooks APIs, not live accounts. Check the first entries with your bookkeeper.
